It was important that every event reflected the premium positioning of Abu Dhabi, while creating meaningful opportunities for our travel partners to connect. The event delivered on both. The entire programme felt considered, professional and engaging.

Four venues. Three cities. Six weeks to deliver.

Abu Dhabi’s Department of Culture and Tourism (DCT) set out to connect with key travel and hospitality partners across the UK. The challenge was to create a premium roadshow experience that reflected the destination’s luxury positioning, while delivering consistency across four very different venues.

With just six weeks from brief to delivery, we were appointed to bring the ambitious programme to life.

The brief

With an expanding portfolio of world-class attractions, luxury hospitality and cultural experiences, Abu Dhabi DCT wanted to showcase the destination’s evolving offer to the UK and European travel markets.

The four-day roadshow would bring together over 250 delegates, including convention bureaus, destination management companies (DMCs), major travel brands and independent travel operators.

The objective was to create meaningful opportunities for networking, knowledge-sharing and pre-arranged meetings, helping travel partners discover more about Abu Dhabi and develop new destination packages.

Our challenge was to deliver a seamless, premium experience across four distinct venues in three cities, navigating tight turnaround times, complex transport and installation logistics, and a carefully managed budget. All while maintaining consistently high standards throughout the roadshow.

The solution: A bespoke roadshow experience

Spanning London, Chester and Glasgow, the programme took place at four prestigious venues: Mandarin Oriental and The Lanesborough in London, Chester Racecourse, and The Corinthian Club in Glasgow. While three events followed a roadshow format, the second London event offered an exclusive VIP afternoon tea experience, adding another dimension to the programme.

Each venue presented its own logistical and technical challenges, from differing room configurations and access restrictions to daily installations and dismantles.

The solution was to develop a bespoke, modular production setup that could be adapted to each space, transported efficiently and reinstalled, without compromising quality or finish.

By designing around the most challenging venue requirements from the outset, we created a flexible solution that maintained a consistent visual identity and premium experience throughout the tour.

Beyond the production, every element was designed around meaningful delegate engagement.

The programme combined opening addresses, structured networking and timed 12-minute meetings, giving attendees valuable opportunities to connect directly with Abu Dhabi’s tourism representatives. An integrated event app enabled delegates to manage their meetings and personalise their agendas, ensuring they could maximise their time and make relevant connections.

From established brands including Etihad and Mandarin Oriental to cultural attractions and emerging developments, the roadshow showcased the breadth of Abu Dhabi’s tourism offer.

Carefully considered cultural touches, including traditional Emirati music and a harpist performing the UAE national anthem, added authenticity, bringing elements of the destination experience directly to UK audiences.

The challenge: Adapting when conditions changed

Even the most carefully planned events demand flexibility. And sometimes, that means making significant decisions with just minutes to spare.

At Chester Racecourse, a heatwave saw temperatures reach 34°C. With the event scheduled to take place inside a marquee without air conditioning, the heat was far from ideal for delegates.

Just 30 minutes before opening, a joint decision was made to move the event outdoors to create a more comfortable setting and further allow guests to enjoy the rare solar eclipse later in the evening.

Not a small adjustment. The move involved relocating 26 exhibition booths, complete with tables, chairs, banners and power supplies, into shaded outdoor areas.

Working collaboratively with the venue and suppliers, our team rapidly reconfigured the entire setup, ensuring everything was ready for the scheduled 3pm opening.

Additionally, a request to bring forward the afternoon tea service required another quick adjustment to the running order, carefully balancing the revised timings with the planned networking and meeting programme.

Despite the last-minute changes behind the scenes, the delegate experience remained seamless. A reminder that successful event delivery goes beyond meticulous planning. It requires the expertise, trusted relationships and confidence to adapt quickly, without compromising the experience.

The results: Four venues and one consistent experience

With an ambitious six-week turnaround, four distinct venues and unexpected on-site challenges, we successfully delivered a cohesive, premium roadshow experience across London, Chester and Glasgow.

Bringing together more than 250 delegates, the programme created valuable opportunities for Abu Dhabi’s tourism stakeholders to strengthen relationships, share destination knowledge and explore new business opportunities within the UK travel market.

The client was delighted with the outcome, and discussions have already turned to next year’s programme with opportunities to build on its success.

From considered creative production and meticulous logistics to agile, on-site event management, every element was designed to deliver a consistent experience that reflected Abu Dhabi’s ambition and premium positioning.

Resulting in an experience that brought Abu Dhabi closer to the people and partnerships helping to shape its tourism future.
